Reference Student Orientation and Training

 

Employment Forms and Payroll (with reference assistant)

1.  Sign paperwork and employment forms

2.  Provide payroll information-time clock & time cards, due dates for timesheets, etc.

3.  Personal folder (drawer at reference desk), for contract and other employee information 

Personnel policies (with reference supervisor)

1.  Discuss standards of conduct form

2.  Have policies and expectations form signed and place in student's personal folder

3.  Review absence policy: prearranged absences and calling in sick (link)

4.  Performance review process 

Orientation Check List (with MH on first day of work)

1.  Reference office

  • Supplies
  • Storage of personal belongings

  • Copy machine  

 2.  Tour of first floor:

     ready reference, reference stacks, restrooms, return carts, assistive technology, handicapped

     seating, government publications, circulation, printers, copy machines, scanners, change machine, etc.  

3.  Reference desk

NOTE: students do not have access to the reference mailbox and room schedules online

  • Log on, add printers, make shortcut to LIBSTATS  http://apptest.uwec.edu:8080/libstats/questionAddForm.do
  • Supplies (paper, staples, etc.)
  • Reference desk schedules (print)
  • Phones & phone number lists
  • Classroom and lab schedules (print)
  • Room keys
    • Dial 36-2222 for University Police and 9-911 for anything more pressingFirst aid kit at Circulation Desk 

4.  Review of contract and policies

  • Homework is not allowed while on duty
  • Please do not engage in unnecessary conversation
  • Personal telephone calls are allowed only for emergencies
  • Please dress appropriately for work
  • Absences: call the reference desk at 836-3858 or email library.reference as soon as you know you will be absent; also email the  Head of Reference
  • Personal email, computer use such as Facebook, etc. are not allowed while at work 

 5.  Communication 

      Check the reference student BLOG and your personal email for messages from us

 

 

Session 1: Introduction (Spring 2008, starting February 4)

1.    Review Student Work Rules (Orientation Check List above)

2.    Review continuing duties at the reference desk

  • Your most important duty is to help library users
  • Walk around the public computers to clean up, add note paper when needed, sharpen pencils, check staplers
  • Check your email for LIBRARY job-related reference desk mail ONLY, check the BLOG for new questions
  • Dust desk and reference shelves
  • Shelf--read the ready reference shelves and reference stacks; ask a librarian for the tutorial  on reading LC call numbers
  • Shadow librarians--watch and listen
  • Work on practice questions (when available)
  • Review student procedures WIKI for updates (when available)
  • Review recent statistics program questions

 3.    Review equipment and technical duties - assist users with the following

  • Scanner: locations and instructions
  • Printer: paper jams, double-sided printing on duplex printer, color printing, toner/technical problems: LTS 36-5711
  • Microform reader/scanner: UW-Eau Claire ID needed, machines on 1st and 2nd floor, instructions on each machine
  • Loaner disks: location at desk
  • Basic computer questions: e.g. "how to log-in as a community user or student", basic Microsoft Office questions
  • Departmental drives: accessing/mapping
  • Paper policy

 4.    Reference Desk Etiquette: Customers come first.

  • Look up! We are there to be approachable and to help
  • Never send a patron away without answering a question. Refer to the librarian or take their name, email, phone, etc. for follow-up 

  • Invite them back if they have more questions

  • Know your limitations and what is appropriate for referral to the librarian

  • Field basic non-resource questions

  • Keep up with your training

 5.    How to refer questions

  • Decide when it is appropriate

  • How do you refer them and to whom

  • Don’t be afraid to say “I don’t know, let’s get more help.”

  • Do NOT send someone away without help or a referral
